Dear Student,

The end of the school year is quickly approaching and summer is right around the corner! Below are some details you’ll need to know to ensure you’re prepared for moving out of residence. In the meantime, best of luck on your finals!

1

Review your move-out date

You are required to move out within 24 hours after your final exam, test or class, or by 12:00 p.m. (noon) on Wednesday, May 1, whichever is earlier. You received an email on March 5 from the Housing Office confirming your move-out date. If needed, you can request an extended stay via the myHousing Portal, no later than Friday, March 29 at 11:59 p.m.

Any students found in residence after their expected move-out date without an approved extended stay request will be asked to leave residence at the moment. They will be subject to conduct follow-up and charged $200/day for staying after their designated move-out date.

2

Plan your travel arrangements

If you're booking flights or other travel arrangements, be sure to purchase your ticket for your specified move-out date. Keep in mind that extended stays may not be approved for over 24 hours after your last exam if your transportation ticket was purchased after you were assigned your move-out date.

If you have someone picking you up, remind them that they should be on campus and at your residence building well before 12:00 p.m. (noon) on your move-out date, and that unattended vehicles in traffic circles (fire routes) will be ticketed. If needed, visitor parking lots can be found here.

3

Book your summer accommodation

Looking to stay in London for the summer? Western Summer Accommodations will be open from May 8 to August 17, 2024, for all Western students in need of summer accommodation. If you currently live in Residence, you may arrange to move into Western Summer Accommodations immediately after your move-out date in April (requires a minimum one-month stay). Make your reservation here.

4

Set up mail forwarding

Now is a good time to call ahead to cancel any services you have set up, and redirect mail to a summer address. Residences officially close at 12:00 noon on Wednesday, May 1. Any mail or parcel that arrives for you after this date will not be held for you and will be returned to the sender.

5

Clean up and pay your community damages

Ensure your room/suite is clean, all garbage is removed and furniture is returned to its original location from when you moved in.

Throughout the academic year, we see various community damage throughout our residence buildings. Efforts are taken to identify responsible parties. However, residence damage costs will be split evenly among all members of the floor, unit or building community when the person(s) responsible cannot be identified under the Residence Contract. If you have any information regarding damage that occurred in your residence, please email residenceconduct@uwo.ca.

All community damages are payable either during the exam period, or at the time of check-out at the front desk by debit or credit card. Room damage will be assessed after you move out and reflected on your Student Center account. All occupants in a double room or suite are equally responsible for the clean-up and furniture relocation costs.

6

Pack up your room

While many Student Leaders were available to direct you during move-in, they are also students writing exams and are unable to assist with the move-out process. You will need to move your own belongings and a limited number of carts will be available at your front desk to help with your move.

Remember to empty your fridge and garbage bin. If you have non-perishable food, clothing/décor items in good condition (with the exception of mattress toppers) or electronics you no longer need, they can be donated in bins in your lobby starting on April 5. Medway-Sydenham residents can donate items in the Elgin Hall lobby and Bayfield residents can go to Lambton or Saugeen. You will not be able to store items in residence after your move-out date, so please ensure your room/suite is left in the condition it was when you moved in.

If you’re needing assistance or just have questions around the move-out process, your Dons are here to help. Dons will be providing every student with a checklist to help with your packing and preparation for departure. Additionally, you can request your Don to help complete a room inspection prior to check-out to inform you of what needs to be done and answer any questions. Dons will be available after the final floor meeting or at a mutually agreed time.

7

Complete your check-out inspection online

To ensure you properly check out of residence we ask that you complete the Check Out Inspection in the myHousing portal. Please report any damages to your room and submit photos of your room so you have an expedited check-out.

8

Check out at the front desk

Once you are ready to check out, ensure your room and suite doors are locked, windows are closed and visit the front desk. We will collect your mailbox and room keys as well as your laundry card. You will also be able to pay your community damages if you have not yet done so.
